      POSITION SUMMARY: 
      The Executive Assistant performs a variety of administrative and staff support duties, which require a range of skills and a knowledge of organizational policies and procedures. Assists and directs customers, and resolves administrative problems and inquiries; composes, edits, and proofreads correspondence and reports, and prepares a range of administrative documents.

      ESSENTIAL DUTIES:
      ● Coordinates and performs a range of staff and/or operational support activities for the organization
      ● Provides administrative/secretarial support for the organization that includes assisting visitors, and resolving and/or referring a range of administrative problems and inquiries
      ● Operates a personal computer to compose and edit correspondence and/or memos, verbal direction, or from knowledge of established organizational policies; may prepare, transcribe, compose, type, edit and distribute agendas and/or minutes of meetings as assigned
      ● Schedules and coordinates meetings, events, interviews, appointments, and/or other similar activities for staff, which may include coordinating travel and lodging arrangements
      ● Prepares or assists with the preparation of scheduled and/or ad hoc narrative reports; performed basic information gathering and analysis and/or forecasting as specifically assigned
      ● Posts, balances, monitors and reconciles internal financial reporting system reports; may serve as the organization's paymaster, may manage petty cash disbursements and reconciliations
      ● Establishes, maintains and updates files, databases, records, and/or other documents; develops and maintains data, and performs routine analyses and calculations in the processing of data for recurring internal reports
      ● Sorts, screens, reviews and distributes incoming and outgoing mail; composes, prepares, or ensures timely responses to a variety of routine written inquiries
      ● Requisitions supplies, printing, maintenance, and other services
      ● Performs miscellaneous job-related duties as assigned.

      ADDITIONAL DUTIES:
      ● Assist with Communication channels (Website, social media, email, newsletters) to inform the community, gather feedback and address concerns.
      ● Assist with marketing strategy, including print ads, social media and outreach materials
      ● Engage and mobilize volunteers to support organizational initiatives.
      ● Responsibilities may evolve as the organization grows. Additional duties may be assigned by the Executive Director, consistent with the scope and level of this role.

      EDUCATION & EXPERIENCE:
      ● High school diploma or GED
      ● 3 years of experience directly related to the duties and responsibilities specified
      ● Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
      ● Knowledge of Taos/northern NM community preferred.
      ● Bilingual English/Spanish preferred.

      LICENSURE & CERTIFICATIONS:
      ● Must possess a valid US state driver’s license.

      KNOWLEDGE, SKILLS, & ABILITIES:
      ● Knowledge of supplies, equipment and/or services ordering and inventory control
      ● Ability to communicate effectively, both orally and in writing
      ● Ability to gather data, compile information and prepare reports
      ● Records maintenance skills
      ● Ability to manage calendars and schedule appointments
      ● Database management skills
      ● Ability to analyze and solve problems
      ● Ability to make administrative/procedural decisions and judgements
      ● Word processing and/or data entry skills
      ● Ability to create, compose and edit written materials
      ● Organizing and coordinating skills
      ● Knowledge of general accounting principles
      ● Ability to record and transcribe meeting minutes

      PHYSICAL REQUIREMENTS:
      ● Primarily involves sedentary work performed in an office environment.
      ● Must be able to perform the essential functions of the position with or without reasonable accommodation
      ● Must be able to remain in a stationary position for extended periods while working at a computer or desk.
      ● Frequent use of computers, telephones, and standard office equipment is required to perform daily tasks.
      ● Must be able to communicate effectively, both verbally and in writing, and to read and interpret documents, data, or reports.
      ● Ability to move within the office to access files or equipment.
      ● Must be able to lift up to 10 pounds, on occasion.
      ● Vision and hearing must be sufficient (with or without correction) to perform essential job functions safely and effectively.
      ● Occasional travel may be required for meetings, training purposes, or conferences.
